Signature Events and Donor Relations Manager
Reports To: VP of Development
PURPOSE OF THE JOB
The role of the Signature Events & Donor Relations Manager is to ensure the financial success and streamlined execution of the Kohl Children’s Museum Signature Events including the Gala, Touch-A-Truck and Golf Outing. This team member will also oversee the planning and execution of donor events and activities that fulfill giving benefits. This professional serves as the Museum’s staff liaison to the Woman’s Board and the Development Board, who are volunteer fundraising and awareness building groups.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Develop all components of fundraising events including the creation and execution of goals, strategies, budgets, plans and timelines.
• Partner with internal and external stakeholders to create strategies for successful events including but not limited to branding, sponsorships, ticket sales, contributions, in-kind donations, auction packages and all ancillary activities.
• Meet or exceed budgeted revenue and expenses; report on financial outcomes, process and acknowledge payments, ensure the accuracy of reports.
• Oversee event-related logistics and relationships. Ensure the accuracy of contracts, handle all details with venues, outside vendors, etc.
• Manage the Woman’s Board and Development Board engagement activities; set meeting dates and agendas, create a welcoming atmosphere, prepare volunteer leaders for meetings and activities, track engagement, monitor and support membership status and recruitment.
• Coordinate Signature Event Committees; set meeting dates and agendas, take minutes, prepare volunteer leaders with KCM information (budgets, preferred vendors, etc.), track participation status, handle logistics, acknowledge participation and committee involvement.
• Create meaningful engagement with Kohl Children’s Museum through donor-centric stewardship activities.
Other duties and responsibilities:
• Maintain and execute stewardship of event related donors/sponsors.
• Perform administrative duties: recruit and train volunteers, manage website development and content, execute a communications plan, correspond with donors and committee members, solicit in-kind donations, follow-up on requests, coordinate meetings and work with committees as needed, support mailings and follow-up phone calls, as needed.
• Write Woman’s Board and Development Board communications. Respond to phone, email, mail and social media with donor-centric messaging.
• Stay current on industry trends, committee ideas, current and new vendors, etc.
• Positively support the Development Team as well as the entire KCM staff in the professional execution of Development-related activities.
• Ensure accurate maintenance of records and constituent data in the Museum’s CRM.
• Communicate with the VP of Development on the progress of event and Board related activities.
• Supervise volunteers with assignments and workload.
• Create, manage and prepare Development reports, as assigned.
• Perform other Development-related tasks and special projects as assigned.
The successful candidate will possess the following:
• Bachelor’s degree in a related field.
• A minimum of 3 years of direct work experience in an event related fundraising position.
• Experience working with a fundraising or constituent management software.
• Experience working in a Museum or nonprofit environment, preferred.
• Previous fundraising experience with demonstrated success in events.
• Excellent organizational skills with the ability to manage deadlines, meet a budget and prioritize workload to meet business needs.
• Exceptional oral and written communication skills with the ability to multi-task.
• Strong project management skills with ability to self-manage projects from beginning to completion.
• Effective, professional relationship management skills with the ability to exercise good judgment when interacting with KCM stakeholders, donors and constituents.
• Friendly demeanor and ability to work collaboratively with individuals of all levels of an organization.
• Proficiency in office technology and software (Microsoft Office suite).
• Ability to maintain confidentiality and exercise discretion in handling sensitive matters.
• Must have a valid driver’s license, own vehicle and good driving record.
• Must have flexibility with work schedule, as necessary, to support weekend and evening activities.
